Atlantic Aviation Administrative Assistant - Business Development in Arlington, Virginia
The Administrative Assistant is responsible for the oversight of all secretarial and clerical duties, working closely with the Business Development Sr. VP to assure that all business administrative needs are met. This includes reception of incoming calls, distribution of incoming and outgoing mail, scheduling of appointments, and creation and distribution of managerial letters, mailings, memos, files and maintaining operational spreadsheets
Essential duties and responsibilities include (but not limited to):
Representation of Atlantic Aviation in a professional and positive manner by applying the principles of the “Atlantic Attitude” at all times.
Comply with all Company policies and procedures.
Compilation and maintenance of customer databases.
Utilization of complied databases for creation and dissemination of customer correspondence materials and internal and external memos.
Responsible for answering all incoming calls and handling them appropriately.
Responsible for all the incoming and outgoing mail; sorting, distribution, deliveries, mailings, FedEx, etc.
Compilation and coordination of information and creation of a weekly activity report for distribution to appropriate staff members.
Create internal invoices as needed.
Maintain and keep current spreadsheets of operational aspects for the Sr. VP and/or BD management.
Ordering and keeping track of office supplies.
Prepare special reports and analyses, participate in projects.
Project Work include (but not limited to):
Management of sponsorship and subscriptions
Bid monitoring and management
Airport data base management
Construction documentation administration
Proposal administration and coordination

EDUCATION AND QUALIFICATIONS
2years’ experiencein business administration within an office environment.
High school diploma or equivalent.
Minimum of 18 years of age.
Previous customer service experience.
Excellent communication skills, both written and oral.
Good organizational skills.
Must maintaina valid state driver’s license.
Ability to comprehend and perform basic math calculations with minimal errors.
Proficiency in use of MS Office applications including Word, Excel and Outlook.
