The Jamestown-Yorktown Foundation is seeking a qualified individual to provide administrative and clerical support to the 2019 Commemoration by planning and coordinating daily functions and activities of the Deputy Director as related to the leadership committees, partnerships and external contractors and events. Assists with planning and coordinating of Commemoration meetings and functions and scheduling of calendars for the Executive Team. Assists with all logistics and compilation of materials such as Operations Planning for selected events. Assists with any special projects as assigned, and acts as liaison to all commemoration staff, JYF leadership and public inquiries to the Commemoration.

This is a restricted position based on non-recurring funding through June 30, 2020.

This is a wage position limited to 1500 hours per year (which equates to about 29 hours or less a week) with no state benefits.

Minimum Qualifications
  • Considerable experience in office operations, administrative processes and secretarial field, accounting and procurement procedures, i.e. travel reimbursement, hotel reservations, etc.

  • Strong computer skills including word processing, e-mail, spreadsheets, database management and graphics software applications.

  • Calendaring, record keeping, and oral/written communication skills required.

  • Demonstrated ability to plan, organize, manage, and perform multiple priorities in a fast-paced environment while giving special attention to detail.

  • Demonstrated ability to establish and maintain positive working relationships with all levels of professionals, elected and appointed officials, and the general public.

  • Position requires the ability to handle confidential information.

  • Ability to work with minimal supervision and to follow directions.

  • Good verbal and written communication skills.

  • Knowledge of Archival Principals preferred.

  • Graduation from high school or equivalent, with supplemental courses and training in office practices/procedures or business administration.

  • Considerable administrative and secretarial experience involving diverse responsibilities.

  • Prior experience in an agency head or director’s office preferred.

  • Extensive word processing experience and considerable experience in proofreading, editing, writing skills, and fiscal processes preferred.

  • Valid Driver’s License

Special Requirements

All full-time and part-time paid staff of the Jamestown-Yorktown Foundation is required to complete and sign an Application for Employment. All volunteers of the Jamestown-Yorktown Foundation are required to complete an Application for Volunteerism. These documents require an employee or volunteer to certify that they have never been convicted for any type of violation. This is above and beyond VA Code §22.1-296.1-C which states “that (i) he has not been convicted of a felony or any offense involving the sexual molestation or physical or sexual abuse or rape of a child; and (ii) whether he has been convicted of a crime of moral turpitude.” In addition, the Foundation completes both name and sex registry background checks through Virginia State Police on all paid and core volunteer staff and the Contractor will (i) maintain all employee certifications on file, (ii) require an employee to update the employee’s certification if the employee later is convicted of any reportable offense, and (iii) will make these certifications available for inspection upon request.” Foundation staff must also be eligible to work using the E-Verify system through U.S. Department of Homeland Security.
